Each Camp page is an invitation to treat; this document, together with the specific Camp page (dates, price, inclusions), is the offer Portcycling makes to you.
All prices are shown in Euros (€) on the relevant Camp page and are the total, final amount payable for what that page lists as included — no additional taxes or fees are added at checkout beyond what Stripe shows you before you pay.
A place is reserved on payment of the Deposit stated on the Camp page. The Deposit is non‑refundable except as set out in Section 5 (changes or cancellation by us).
The balance of the Camp Fee is due no later than 30 days before the Camp start date. If the balance is not received by that date, we may treat the Booking as cancelled by you under Section 4, and re‑offer the place to another rider.
Payments are processed by Stripe. We do not store your card details. Currency‑conversion fees charged by your bank or card issuer for non‑EUR cards are your responsibility.
The Camp Fee covers only what is listed as included on the specific Camp page. It does not include flights, visas, travel insurance, bike rental (unless stated), single‑room upgrades (unless stated), personal expenses, or any item marked "on request".
If you need to cancel your place, tell us in writing at dabalabar@gmail.com. Refunds of the Camp Fee (excluding the Deposit, which is always non‑refundable) follow this schedule, calculated from the date we receive your written cancellation to the Camp start date:

Instead of cancelling, you may transfer your Booking once, free of charge, to another Camp date in the same season, subject to availability and written request at least 30 days before the original start date.
We strongly recommend taking out travel insurance that covers cancellation, medical costs, and trip interruption from the date you book.
If we cancel a Camp (for example, due to insufficient bookings, or events beyond our reasonable control — "Force Majeure", including extreme weather, natural disaster, war, pandemic, government restriction, or venue/hotel unavailability), you may choose between:
We are not liable for any other costs you incur as a result of a cancellation or change (e.g. flights, gear, lost time) — this is why we recommend travel insurance. If a Camp is materially changed after your Booking is confirmed (e.g. a change of venue or coach), we will tell you as soon as reasonably possible and you may cancel for a full refund if the change is unacceptable to you.
If you are a consumer resident in the EU/EEA booking at a distance (online), EU law (Directive 2011/83/EU) ordinarily gives you 14 days to withdraw from an online purchase without giving a reason. However, Article 16(l) of that Directive exempts contracts for accommodation, transport, catering, or leisure services to be performed on a specific date or during a specific period — which describes a Camp booking. By confirming a Booking, you acknowledge that the standard 14‑day withdrawal right does not apply, and that Section 4 (Cancellation & Refunds) governs instead.
You must be at least 18 years old to book a Camp. We do not currently accept applications from participants under 18.
Our Camps involve sustained, structured physical exertion (multi‑day road/gravel cycling, 3–8+ hours per week of prior training expected) on open roads and variable terrain. By booking, you confirm that:
We may decline or withdraw a place if we reasonably believe participation would be unsafe for you or others, and will discuss this with you where practical.
Cycling on open roads and off‑road terrain carries inherent risks, including but not limited to: collisions with vehicles, other riders, or obstacles; falls; equipment failure; adverse weather; road surface hazards; and the physical strain of sustained effort. These risks exist even when instructions and safety guidance are followed.
By booking a Camp, you acknowledge and accept these inherent risks as a known and voluntary part of participation, and agree to:
Nothing in this section excludes or limits liability for death or personal injury caused by our gross negligence or wilful misconduct, or any other liability that cannot be excluded or limited under applicable law. Subject to that, and to the extent permitted by applicable law, you agree that Portcycling is not liable for injury, loss, or damage arising from the inherent risks described above where we have taken reasonable care.
We ask every participant to behave respectfully and safely towards other riders, staff, and the local community, and to be genuinely mixed‑community and inclusive in spirit. We may remove a participant from a Camp without refund, at our reasonable discretion, for conduct that is dangerous, seriously disruptive, or puts others at risk (including ignoring safety instructions or riding recklessly).
The Camp Fee does not include travel, medical, accident, or cancellation insurance. You are responsible for arranging adequate insurance covering the full duration of your trip, including cycling as an activity, before the Camp begins. We may ask you to confirm you hold such cover as part of check‑in.
To the maximum extent permitted by applicable law, and subject always to Section 8 (no limitation for death/personal injury caused by our gross negligence or wilful misconduct, or for any liability that cannot lawfully be excluded):
Nothing in these Terms affects statutory rights that cannot be waived under the mandatory consumer‑protection law of your country of habitual residence, where applicable.
Some elements of a Camp (accommodation, meals, transfers, bike rental) are provided by independent third parties (e.g. the partner hotel). We select these partners with reasonable care, and coordinate the Camp on your behalf, but each third party's own terms and conditions also apply to the service they provide.
We may take photos and video during a Camp for our own marketing (website, social media, advertising, future Camp materials). By attending, you grant Portcycling a non‑exclusive, worldwide, royalty‑free licence to use images or footage in which you appear for these purposes, unless you tell us in writing before or at the start of the Camp that you do not consent. You may withdraw this consent at any time for future use by emailing dabalabar@gmail.com; this will not affect material already published before your request.
We process your personal data as described in our Data Protection notice, available from the "Privacy & Data Policy" link in the footer of every page on portcycling.cc and from the application form, in accordance with the EU General Data Protection Regulation. That notice covers what we collect, why, our legal bases, our subprocessors (including Formspree and Netlify), retention periods, and your rights.
If something goes wrong, contact us first at dabalabar@gmail.com — most issues are resolved faster this way than through formal proceedings. If you are an EU consumer and we cannot resolve a complaint directly, you may refer it to a certified consumer Alternative Dispute Resolution (ADR) body in your country of residence. For Portugal, the list of accredited entities is maintained by the Direção‑Geral do Consumidor at consumidor.gov.pt.
These Terms, and any Booking made under them, are governed by the laws of Portugal. Any dispute will be subject to the exclusive jurisdiction of the courts of Torres Vedras, Portugal, without prejudice to any mandatory right you have as a consumer to bring proceedings in the courts of your own country of habitual residence, and without prejudice to any mandatory consumer‑protection rules of that country that cannot be excluded by agreement.
We may update these Terms from time to time; the version in force at the time you submit your application governs your Booking. Material changes will be dated at the top of this page.
